Start at the front door
List the entrance mats, accessible glass, lobby surfaces, elevator interiors and corridors proposed for regular service. Identify shared washrooms and amenity rooms separately so their use and access are understood.

Keep common areas distinct from private suites
The strata or property manager identifies which areas can be authorized. Private homes, tenant premises, balconies and storage lockers are not automatically part of a common-area agreement.
Discuss busy arrival periods, move bookings, deliveries and amenity reservations. Identify any route that must remain open and the contact who can resolve an access problem.

Match the plan to the building finishes
A lobby floor, carpeted corridor and elevator interior need different attention. Record the surfaces, approved methods and periodic work to be assessed separately from routine visits.

Give the manager a usable review
Choose observable review points and a channel for reporting an inaccessible area or agreed task that needs attention. Keep resident information and unit access details out of ordinary reports.
