1. Record the property and permissions

  • Street address, suite or floor, building use and approximate cleanable area.
  • Contact for the building and contact for the tenant; name the person who approves each scope.
  • Opening hours, occupied evening areas and the preferred cleaning window.
  • Proposed start date and existing contract timing, without confidential commercial documents.

2. Walk the arrival and equipment route

  • Approved entrance, sign-in point and any loading or elevator booking requirements.
  • Entrance mats, lobby finishes, accessible glass and the route to each serviced floor.
  • Storage, water access, agreed waste-transfer points and restricted rooms.
  • For strata properties, keep an occupied route available and identify amenity-room access.

3. Separate the areas and tasks

  • Office suites: cleared desks, meeting rooms, reception, kitchens and washrooms.
  • Common areas: lobbies, elevators, corridors and agreed amenities, with private suites listed separately.
  • Retail and dealerships: accessible floors and counters, with stock, vehicle movement and shop work excluded unless separately assessed.
  • Record the requested frequency by room and surface; avoid one unexplained building-wide total.

4. Ask for comparable pricing

  • Recurring visits, initial cleaning and periodic floor or carpet work shown separately.
  • Responsibility for paper products, soap, liners, equipment and storage.
  • Assumptions, exclusions and optional work identified beside the price.
  • A location-level amount for portfolios, alongside any combined total.

5. Agree the handover and review

A Vancouver suite and its shared building areas can have different boundaries. Consult the strata plan and the Province’s property-category guide before agreeing which spaces belong in this brief.

  • Who transfers access securely and who can help if entry fails; never send alarm codes through the enquiry form.
  • How an inaccessible area or missed task is reported, and who receives it.
  • Observable review points for the agreed areas, without tenant, employee or customer information.
  • Written scope, schedule, price and change-approval process confirmed before service begins.
